Comparing Custom Heater Quotations: What to Look for Beyond Price

When you send an RFQ for custom or specification-matched heaters to multiple suppliers, the quotations you receive will differ. Prices will vary, sometimes significantly. But the price is the last thing you should compare. First, you need to know whether each quotation actually describes the same product. In practice, what looks like a price difference is often a specification difference.

This guide covers how to compare heater quotations methodically, what to watch for, and what questions to ask before placing your order.

First: Are They Quoting the Same Thing?

The most common mistake when comparing quotations is assuming that all suppliers are quoting the same product. If your RFQ specified a cartridge heater at 12 mm diameter, 100 mm length, 200W at 230V, you might expect every quotation to describe that exact product. But variations creep in.

Check these specification points across every quotation:

  • Diameter and length: are they exactly as specified, or has a supplier substituted a close-but-not-identical size?
  • Wattage and voltage: an exact match, or a slightly different wattage?
  • Sheath material: did you specify stainless steel and receive a quote for mild steel?
  • Watt density: two heaters with the same diameter, length and wattage can have different watt densities if one has a longer active heating zone. This affects performance.
  • Lead type and length: a lower-priced quotation may include shorter leads or a cheaper lead material.
  • Thermocouple: if you specified one, is it included in all quotes?

Create a simple comparison table and line up the specifications from each quotation side by side. Any difference is a potential reason for a price difference and may also be a performance difference.

Price Factors That Are Not Obvious

Even when the specifications match, prices can differ for legitimate reasons. Understanding these factors helps you evaluate whether a lower price represents better value or a hidden trade-off.

Manufacturing quality and tolerances: a heater manufactured to tighter diameter tolerances will cost more but provide better bore fit and longer life. If one quotation is significantly cheaper, ask about their tolerance standard.

Lead and termination quality: the leads, insulation and termination method affect both the initial cost and the heater’s reliability in service. Higher-quality leads with proper strain relief cost more but fail less often.

Minimum order quantity: some suppliers offer lower unit prices only at higher quantities. If you need 10 heaters but the price is based on 100, verify the pricing at your actual quantity.

Delivery and freight: compare delivered prices, not ex-works prices. Freight, packaging and insurance add to the total cost, especially for heavy or fragile items like immersion heaters and casted heaters.

Taxes: ensure all quotations state GST treatment consistently (inclusive or exclusive) so you are comparing like with like.

Lead time: a supplier offering a two-week lead time may charge more than one offering four weeks. If your equipment is down, the faster delivery may be worth the premium.

Quality Indicators

Price and specifications are quantifiable. Quality is harder to assess from a quotation alone, but there are indicators:

Specification detail in the quotation: a supplier who quotes back a detailed product description (confirming the diameter, length, wattage, voltage, material, lead type and thermocouple) demonstrates that they have reviewed your requirements carefully. A one-line quotation with only a price and a part number tells you less.

Technical questions from the supplier: if a supplier asks clarifying questions (about your bore diameter, operating temperature or application) before quoting, that is a positive sign. They are checking the fit rather than just filling an order.

Response to non-standard requirements: if you specified something unusual (a non-standard diameter, a specific alloy, a custom lead configuration), how did each supplier respond? Did they confirm they can produce it, or did they substitute without explaining?

References and repeat business: a supplier with a track record in your industry or with similar products is a lower-risk choice, especially for critical applications.

Questions to Ask Before Placing the Order

Before selecting a supplier based on quotation comparison, consider asking:

  1. Can you confirm the diameter tolerance for this heater? This tells you about manufacturing precision.
  2. What is the expected heater life in my application? A responsible supplier will say it depends on the application rather than making a universal promise.
  3. Do you test each heater before dispatch? Basic quality checks include resistance measurement and insulation testing.
  4. What is your process if the heater does not match the specification? Understanding the replacement or warranty process before you need it.
  5. Can you hold pricing for repeat orders? If you replace these heaters regularly, knowing whether the quoted price is a one-time or standing offer matters.

The Total Cost Perspective

A replacement heater is not just the purchase price. The total cost includes:

  • The unit price of the heater
  • Freight and handling
  • The time your equipment is down waiting for delivery
  • The labour cost of installation
  • The frequency of replacement (a heater that lasts twice as long at 1.3x the price is cheaper overall)
  • The cost of a specification mismatch (ordering again, more downtime)

The lowest unit price wins the purchase order. The lowest total cost wins the year.

A Comparison Template

| Specification | Supplier A | Supplier B | Supplier C | |---------------|-----------|-----------|-----------| | Heater type | | | | | Diameter (mm) | | | | | Length (mm) | | | | | Wattage (W) | | | | | Voltage (V) | | | | | Sheath material | | | | | Lead type and length | | | | | Thermocouple | | | | | Unit price (INR, ex-GST) | | | | | GST | | | | | Freight | | | | | Delivered price | | | | | Lead time | | | | | MOQ | | | | | Tolerance standard | | | |

Fill this in for each quotation before making your decision.
